Job Overview:
Performs tasks and oversees processes/project components for office administration under limited supervision, ensuring work is aligned to organizational standards, solving problems and roadblocks as they occur. Responsible for coordinating all administration functions of the NYRA Security Department including all recruiting and onboarding support for the NYRA Security Department. Provides routine time-keeping support and completes all NYRA Security Department budgeting, purchasing and bidding for goods and services. Documents processes and procedures related to the overall function of the NYRA Security Department.
Manage the files of all reports made by NYRA Security Patrol Officers. Receives, sorts, dates, reviews, and files patrol reports. Creates and distributes the Daily Activity report listing fire and safety violations, stolen or damaged vehicles, barn area incidents, accidents, etc. Distributes vital reports and calendars keeping Senior management and other staff members appropriately informed. Develops and maintains spreadsheets to operational costs and discipline records.
Essential Functions:
• Works with appropriate NYRA personnel to post, recruit, onboard and train Peace Officers, Security Guards, Fire Marshals and all other Security Department personnel.
• Reviews and process timekeeping, ensuring that the hours agree with union contract stipulations and that the night differential rates are credited appropriately.
• Works with NYRA Security Department to draft, edit and maintain processes and procedures related to all administrative functions in the NYRA Security Department.
• Designs and implements new office procedures, filing systems, and efficient documentation processes to eliminate the use of paper, incorporate technology and harmonize operations between upstate and downstate offices.
• Enrolls and maintains new hire enrollments for Security Guards and Fire Marshals in biometric time clocks and in all NYRA systems.
• Oversees all necessary administrative work for NYRA Security Department budgeting, purchasing and bidding of goods and services contracts.
• Assists in the role out of new Security software and technologies ensuring that team members have appropriate access and training with new systems.
• Creates weekly schedule of Barn Area violation hearings to be held. Distributes schedule to all staff involved.
• Collects fines from workers found guilty of Barn Area Violations. Issues receipts.
• Receives, sorts, dates, reviews, and files Security patrol reports while working with NYRA team members to convert all incident reporting to an electronic reporting system.
• Creates weekly report of fines collected and distributes report to all staff involved.
• Maintains and updates log of Lost and Found items. Issues receipts when items are claimed.
• Coordinate necessary Security Guard training classes and schedules for NYRA Security Guards to maintain appropriate certification.
• Registers Peace Officers with NYSDOJ.
• Assist I.D. Clerk, as needed.
• Assist NYRA HR, as needed, to onboard other NYRA employees in Saratoga.
• Utilizes experience and a comprehensive understanding of area processes and tools to contribute to more difficult components of projects, initiatives, or processes.

Pay Range / Salary: $27.47 -$41.20
