Job Overview:

The Vanning Manager oversees activities related to horse transportation between NYRA properties both through NYRA owned and operated horse trailers and through the oversight of NYRA’s vendors. The Vanning Manager is responsible for overseeing all NYRA’s union Van Drivers and non-union employees, ensuring safe transportation of both horses and humans between NYRA properties.


This individual works with van drivers as well as NYSGC licensees to ensure compliance with all DOT, NYSGC, and barn area rules and regulations, especially those related to horse transportation. Communicates maintenance needs with the facilities department, as appropriate. Helps ensure a safe and well-maintained fleet of vehicles at all three NYRA properties while being based at Belmont Park throughout the year.

Essential Functions:

  • Oversee the entire NYRA vanning process, both loading and unloading of horses into NYRA vans;
  • Oversee, schedule, and approve timecards for all union van drivers and non-union employees
  • Ensure compliance with the CBA and all applicable rules and regulations;
  • Manage vendor relationships with third-party van companies to ensure compliance with existing contracts and maintain efficiency;
  • Manage and coordinate with various stakeholders, including shippers, consignees, and carriers, to ensure accurate and timely information flow;
  • Maintain high safety standards during vanning operations, including adherence to security procedures and regulations;
  • Report any incidents or potential safety hazards to the appropriate parties immediately;
  • Ensure compliance and have knowledge of all relevant regulations and procedures related to CDL requirements, DOT requirements, NYSGC and NYRA House Rules;
  • Work closely with NYRA’s Health and Safety Manager to schedule continuing education classes for drivers, DOT random drug tests, and incident reports
  • Maintain accurate records of all vanning operations, including horse details and loading procedures;
  • Generate reports on vanning activities, performance, and efficiency, including creation and circulation of bills of ladings;
  • Document all maintenance work needed on NYRA vans and ensure work is completed and vans are in good order prior to being put into service;
  • Identify areas for improvement in vanning processes and implement necessary changes to enhance efficiency and quality;
  • Works with Barn Area Supervisor and security to manage and resolve complaints and issues that may arise within the stable area and on NYRA vans;
  • Responsible for the coordination and scheduling of transportation as needed for equine medical review and diagnostics
  • Assists in the maintenance and collection of departmental files and records with racing and security departments;
  • Coordinates and assists other NYRA team members with preparing and managing NYRA quarantine facilities;
  • Other duties as assigned.

Qualifications:

  • Education (minimum): High School Diploma or GED
  • Experience: 3-5 years working in the horseracing industry, preferably in the backstretch area and/or with a horse vanning operation.
  • Other Requirements: In-depth knowledge of horse racing schedules and logistics.
  • Strong interpersonal skills to work with people of diverse backgrounds & personalities;
  • Strong computer skills – Word, Excel, internet and email;
  • Strong communication skills; English and Spanish speaking preferred

Summary of Physical Requirements and Work Environment:

  • The Vanning Manager role requires moderate physical activity - only assist with horses in an emergency situation, but mainly hands off with horses. The individual must be able to move throughout barn areas and racetrack facilities, frequently walk, stand, and climb in and out of transport vehicles.

Pay Range / Salary: $76,000-$85,000
