Title: Accounts Payable Specialist

Employee Status: Regular Full Time

Work From Home Option: Hybrid - 2 Days/Week (40% Remote)

FLSA Status: Exempt

Job Overview:

The Accounts Payable Specialist will oversee the processing of invoices ensuring accuracy and compliance with company policies and procedures. Manage and ensure the timeliness of vendor payments. Monitor vendor correspondence, reconcile vendor accounts, address and resolve complex accounts payable issues and inquiries. The AP lead will be the point of contact for assistance on AP related processes and policies to business owners.

Essential Functions:

  • Check all incoming invoices for approvals, applicable sales tax, duplicates, or errors,
    and purchase-order compliance.
  • Enter invoices into ERP system- perform 3-way match for PO invoices or forward to the correct department for approval of non-PO invoices.
  • Assist Manager with payment runs.
  • Process and approve employee expenses through Concur on behalf of A/P.
  • Monitor vendor accounts to ensure payments are up to date.
  • Resolve invoice discrepancies. Correspond with vendors and respond to inquiries.
  • Maintain the vendor files for audit compliance.
  • Handle incoming hard copy/digital correspondence and distribute accordingly.
  • Work with Audit (external/internal) with documentation requests and inquiries.
  • Work with business owners to ensure compliance with company’s Procure to Pay policies and procedures.
  • Perform ad-hoc projects, as assigned by the manager.
  • Assist with training on accounting applications.

Qualifications:

  • Education (minimum): College Degree a plus
  • Experience: 5+ years Accounts Payable/Accounting Experience
  • Other Requirements:
    • Good understanding of Accounts Payable and Procure-To-Pay processes.
    • Experience processing full cycle AP.
    • Knowledge of general accounting procedures.
    • ERP experience is desirable. SAP S4Hana and Ariba experience a PLUS.
    • Must be able to establish and maintain good working relationships internally and externally.
  • Knowledge Required:
    • Organized and able to prioritize workload.
    • Has strong attention to detail and accuracy.
    • Strong verbal communication skills. Must be able to ask questions and explain accounts payable policies to peers and senior employees.
    • Information management and problem-solving skills.
    • Good analytical skills.
    • Basic computer skills related to accounting software, accurate data entry skills, and familiarity with MS Office applications including Word and Excel.

Summary of Physical Requirements and Work Environment:

  • Primarily sedentary in nature with no special demands required as this is an office role.

Pay Range / Salary: $60,000-$65,000
